Cybersecurity Basics for Researchers and Academic Projects

Practical habits for protecting research files, accounts, participant information and collaborative project access.

Research data can be sensitive even when it is not obviously personal

Interview transcripts, participant lists, unpublished results, grant documents and institutional files may be confidential. Start by identifying which information would cause harm, ethical concerns or project disruption if it were lost, altered or exposed.

Protect accounts with strong authentication

Use unique passwords and multi-factor authentication for email, cloud storage, research platforms and administrative accounts. Reusing passwords means a breach on one service can compromise several others. Password managers can reduce the burden of maintaining unique credentials.

Control where files are stored and shared

Use institutionally approved storage where required. Avoid uncontrolled copies across personal email, messaging apps and USB devices. Shared folders should grant only the access each collaborator needs, and access should be removed when a person leaves the project.

Keep devices and software updated

Operating-system and application updates often fix known security vulnerabilities. Enable automatic updates where practical, use reputable endpoint protection and lock devices when unattended. Backups should be tested rather than assumed to work.

Watch for phishing and social engineering

Researchers receive invitations, document links, conference messages and collaboration requests that can be imitated by attackers. Check sender domains, unexpected attachments and login pages carefully. A message that creates urgency or asks you to bypass normal procedure deserves extra scrutiny.

Plan security alongside ethics and data management

Security controls should support the consent process, ethics approval and data-management plan. Decide how data will be transferred, anonymised, retained and deleted. Good security is not a separate technical task—it is part of responsible research practice.
